DCWW Steering Committee/Executive Board Meeting

In attendance: Deborah Aker, Carrie Hane Dennison (Program Co-Chair), Mary Fumento (Lunch Bunch Organizer), Lisa King (EB Member), Ann Marsteller (Program Co-Chair), Karen O'Donnell (Resume Wrangler), Kathy Perrin (Program Committee/Expo Chair), April Roberson (Treasurer), Katherine Spivey (President), Debbie Wise (Secretary). Also, Rynne Cowham and Rachel Sengers, Stephanie Brooks (member), and Shireen (possible new GROW volunteer)

Introductions/Welcome

President/Administrative
  • Password protection of archives – tabled
  • Listadmin – Katherine spoke to Valerie Baten and she plans to get together with Miriam Jaffe to address the Listadmin issues of timely response and AOL posting. We discussed adding something to the error message and checking to ensure that posters are using the subscribing address.
  • Retreat – Lisa King scheduling for new year - venues?. Lisa asked us to email our availability for January and February, and suggest any venues.
Treasurer's Report
Current account balance – April disclosed the current account balance and discussed some issues she’s having with the PayPal forms used for programming. She is making changes to the PayPal account for right now, but would like someone else to take that on.

Katherine and Debbie’s signatures are now on our bank records.

Secretary
We welcomed Debbie Wise as the new secretary. Debbie mentioned that meeting notes archived on the website need to be updated; Deborah Aker graciously agreed to do it and continue to post meeting notes until replacement Tech Chairs are found.

Programming
  • Holiday party – sponsors? Door prizes? The holiday party will be held on December 11, 2002 at Teaism. Requests for sponsor and door prizes have been sent to the list. We agreed that sponsors and door prizes were good things, generally attained by asking the list, but they are not necessary.
  • Agreement with Strayer University-Arlington campus – good/bad? Program Committee will draft a space partnership agreement and submit it to the SC list. Strayer University opened a new campus at Court House Metro. Carrie inquired about meeting space for us and they are not against the idea, but need more information. Strayer would like a small written proposal for meeting space. Perhaps we could present/co-present with one of their technology professors. Group agreed it’s a good idea and we should establish a space partnership only agreement. Carrie and Ann will proceed and post the proposal to the SC list for editing and comments. We can also use this proposal as a boiler plate for others.
  • Washington Club – DCWW membership? This club is located in Dupont Circle. The Women in Film & Video group belong to the club and are entitled to use their space for social events as members. Program Co-Chairs will investigate getting us a membership there as well.
  • 2003 programs – ideas? Roundtables, brown-bag lunches, Knowledge Exchange, conversations with women, field trips. We need to start planning for 2003 and will go back to the survey for topics. Some mentioned: conversations w/powerful women, interpreting web statistics and metrics, technical roundtable discussions.
  • Co-sponsoring networking with Perfect Circles (Radhika Murari) – We decided to announces these kinds of networking/social events, but not to go after them (question of focus). We need more assistance w/organizing social events. The Programming Chairs cannot handle educational and social events. Would be open to having a dedicated social programming chair.
We discussed not allowing non-members to place general marketing materials at programming events. This needs to be hammered out by the Programming Committee and brought to the SC to include as a policy. Ann (Programming Committee) will work on a guideline for handling vendors that could be added to our FAQ.

Program listings are making it onto the online version of the Washington Post's Face Time. The Program Committee will track how people heard about the programs.

Program Committee will check the Friends of DCWW page to consider how we deal with space providers.

Expo coordination
Women's Center Conference – Kathy Perrin. We will forward announcements of expos to Kathy, and she will arrange/schedule volunteers and draft a plan of action and forward it to the SC list. We will list expos we're attending on the website.

Coffee and DoughNets/Netpreneur supplement – Jeanne Marshall – see email from Jeanne. Lisa King suggested topics on Internet business issues, and agreed to get contacts.

Authors' teas (events for DCWW columnists and their adoring and/or curious fans)- Deborah Aker suggested having an event around the columnist so folks can learn more about the topic/subject and possibly volunteer to write a column or lend ideas for new columns. SC agreed that this was a good idea and that Teaism would be a good location. We need feedback on what people want to read and what kinds of programs they are interested in. Considered a post-holiday event, possibly in Jan 2003.

Press/PR
Need new chair – Janire Hopkins stepping down; Tammaye Grissom has agreed to take this on, but would like a co-chair, to get DCWW a broader range of exposure.

Workshops
Set through January

Inconsistent payment system (PayPal not being updated by volunteer) – April is updating the PayPal page now, but would like someone to take this one.

Technology
Membership database – The membership directory came up, but in the absence of any proponents, the SC decided that given the privacy and security concerns, and the impossibility of preserving members from spam, that we would not proceed.

While Deborah Aker, in her capacity as editor, is going through the website, she will remove link to outdated membership db. Lisa King will write to Michele (keeper of the membership directory) to inform her of our decision.

Website
Need new volunteers to replace Jill and Rachel. Angel Venable has volunteered to implement new IA. Rynne indicated her interest in redesigning the website totally. We will ask the list for co-chairs and call upon volunteers who have indicated interest. We would also like to explore getting traffic stats for the website.

Outreach
Possible GROW (Girls Rock On the Web) volunteer– Shireen has volunteered to take this on. She works closely with Digital Sisters.

Columns
Tax issues column volunteer-Deborah Aker has asked this volunteer to start with a hotshots column before proceeding to a monthly commitment.

Other
Mary Fumento, current Lunch Bunch coordinator, has agreed to become SIG Admin Co-Chair, but is looking for another co-chair to help reinvigorate the SIGs.

SC list is encouraged to update their information on bios-or to provide such information – as well as the contact information on the admin site.

SC list discussed codifying a way of dealing with sales/sponsors – Lisa King will check her files.

We'd like to add a timeline/historical bio of the organization, probably coming from past presidents/board members, and charter members already listed in FAQs.

The idea of a talent showcase for freelances came up, to be discussed on the list.
